How to Import or Migrate Your Data into AgentTime CRM

Switching to Agent Time CRM: To help you get started, we’ve shared import templates with you via email. These templates are pre-mapped to Agent Time fields so you can easily upload your existing data without any technical setup.

Follow the steps below to complete your migration.

Step 1: Open the Import Templates from Your Email

  • Check your inbox for an email from Agent Time with attached import templates (CSV files).

  • Download the templates for the modules you want to import (e.g., Leads, Contacts, Deals).


Step 2: Fill in Your Data

  • Open the CSV template in Excel or Google Sheets.

  • Copy and paste your existing records into the correct columns.

  • Do not rename or delete columns — they are aligned with Agent Time CRM fields.

  • Do the same for other module template sheet and download each module template separately.

  • Save the file in CSV format once your data is ready.

Step 3: Choose module and saved CSV file.

  1. Log in to AgentTime CRM.

  2. Go to [Desired Module where you want to import] →  Dropdown: Create Lead → Import Leads

  3. Click on browse button choose file corresponding to the module you selected and click Next.

  4. Choose "Add as new Leads " and Click Next.


Step 4: Review the Columns in Your File

  1. On the left, you’ll see Fields in File → these are the column headers from your CSV template (e.g., Property Name, Offer Won, Settlement Date).

  2. On the right, you’ll see a sample value from your file (e.g., “22 Marks Place” or “Yes”).

  3. This helps you verify that the data is correct.

Step 5: Match to CRM Fields

  • In the middle column (Fields in AgentTime Buyers Agency Suite CRM), select the corresponding CRM field.

  • Example:

    • Property Name (CSV) → Property Name (CRM)

    • Settlement Date (CSV) → Settlement Date (CRM)




Notes
Note: Handle Special Field Types. Some fields require special attention:

Boolean fields (e.g., Offer Won, Settled, Contract Exchanged) → Accepts only Yes/No or True/False values.
Date fields (e.g., Settlement Date) → Must follow the dd/MM/yyyy format (e.g., 15/05/2023). 

 Check for Unmapped Fields

  • Click the Unmapped tab to see any fields that didn’t match automatically.

  • If required, manually select the CRM field from the dropdown.

  • If you don’t need a field, you can leave it unmapped.

Step 6: Check Imported Records

  • Once the import finishes, you’ll see a summary report of successful and failed records.

  • If there are any errors, download the error file, fix the issues, and re-upload the corrected CSV.

  • Double-check for duplicates before importing.

  • Make sure all mandatory fields (like Last Name, Email, or Deal Name) are filled in.

  • Always keep a backup of your original files.
