What’s New in Version 17

Represents a major structural upgrade to the Agent Time BA Suite.

This release consolidates all enhancements from previous versions into one fully unified, native, automation-driven acquisition engine.


  • 1. Native Acquisition Module (Replaces Zoho Projects)

    Zoho Projects has been replaced.

    The new Acquisition Module is now the central lifecycle engine.

    You can now:

    • Create and manage acquisition projects directly inside CRM
    • Track project phases in real time
    • Monitor structured tasklists per phase
    • Control stakeholder coordination
    • Trigger phase-based automations


    End-to-End Acquisition Lifecycle Automation

    The system now fully supports:

    • LGA / Suburb Approvals
    • Offer Placement
    • COS Signed Introductions
    • Finance Approval
    • Building & Pest Inspections
    • Conveyancer Coordination
    • Settlement Confirmation

Note: If you prefer to continue using Zoho Projects instead of the built-in Acquisition Module, this option remains available and can be enabled upon request.


  • 2. Smart Tasklist & Due-Date Engine

    The system automatically generates and tracks:

    • Finance Approval Due Dates
    • Building & Pest Due Dates
    • Settlement Due Dates

    Automated reminders and escalation emails are sent to:

    • Clients
    • Buyer Agents
    • Conveyancers
    • Mortgage Brokers
    • Quantity Surveyors

    Approximately 80–85% of tasks trigger automated communications when marked In Progress or Completed.

    Operations now run on structured automation rather than manual follow-ups.


    3. Buyer Engagement & Intent Intelligence

    Automatic Property Assignment Alerts

    When a property is assigned to a buyer:

    • Buyer receives a New Property Alert
    • Property brief documents are auto-shared
    • Anniversary reminders remain active long term


    Buyer “Pursue” Intent Alerts

    When a buyer selects “Pursue”:

    • Assigned Buyer Agent is notified instantly
    • Acquisition workflow triggers immediately
    • High-intent buyers are prioritised

    Shorter deal cycles

    4. Property Tagging to Projects

    Buyer-interest properties from the Client Portal can now be tagged directly to an Acquisition Project.

    Workflow:

    1. Buyer shows interest

    2. Agent receives automated alert

    3. Agent tags property to project

    4. Lifecycle automation begins

    This ensures clean property-to-project mapping.


    5. Stakeholder Auto-Introduction Engine

    Based on project phase, the system automatically introduces:

    • Mortgage Brokers
    • Building & Pest Inspectors
    • Conveyancers
    • Quantity Surveyors

    Using predefined professional email templates.

    6. Finance Integration & Control Engine

    Customer Auto Sync for both Xero & Zoho Books

    When generating invoices:

    • Client automatically syncs to active finance platform if doesn't exist.
    • No manual customer creation required


    Finance Platform Mutual Validation

    The system now prevents enabling Xero and Zoho Books simultaneously.

    If Xero is enabled → Zoho Books cannot be enabled
    If Zoho Books is enabled → Xero cannot be enabled

    This prevents:

    • Accounting conflicts
    • Duplicate finance sync
    • Integration instability


    Integration Toggle Control (Sender ID Module)

    You can enable or disable integrations using ON/OFF toggles.

    Before triggering WhatsApp, SMS, or finance actions, the system validates that the integration is enabled.

    Result:
    Safer automation
    Fewer errors
    Greater system control


    7. Invoice Name Flexibility

    Invoices can now be generated using:

    • Client Name
    OR
    • Legal Entity Name

    A new field “Legal Entity Name” determines invoice naming.

    If populated → system uses Legal Entity Name
    If empty → defaults to Client/Deal Name

    Improves compliance flexibility for trust, entity, and corporate structures.


    8. SMS Booking Confirmation Intelligence

    When a client books an appointment:

    System sends SMS confirmation request.

    If client replies:

    “Yes” → booking remains
    “No” → system automatically cancels appointment

    This prevents incorrect follow-ups and manual corrections.


    9. Communication & Template Enhancements

    • Email template names displayed instead of template IDs
    • Predefined, editable professional templates included
    • Finance, B&P, Settlement, Congratulations & Anniversary automations
    • Smart SMS attendance logic

    10. UI, Mobile & Data Accuracy Engine
